When an SMS matches an item on this board

Turn inbound texts into board-native automations.

When someone texts your number, Gravity SMS finds the matching item on the board you choose (by phone column) and hands that item straight into monday Workflows — so the next steps can update status, assign owners, log updates, or run any block that expects a real item, including an automated SMS response.

Best for: “This text belongs to that deal / ticket / lead — act on it immediately.”

When an SMS matches an item and a keyword

Filter the noise; only run workflows that matter.

Require a keyword in the message body (exact, starts with, or contains) — then match the sender to an item on your board. When it fires, you get the matched item plus which keyword matched, ready for precise routing and updates.

Best for: “YES,” “STOP,” “QUOTE,” support codes, short codes.

What you need

  • A Gravity SMS account (sign up at the portal — required during the pre-marketplace period).
  • A monday.com account with admin access (to install apps and configure recipes).
  • A RingCentral account with at least one extension that has SMS-enabled phone numbers.

Step 1 — Activate in the Gravity SMS portal

    Sign up (or sign in) at the Gravity SMS portal.

    Go to Integrations and click “Activate monday app”.

  3. 3

    Copy the API key it gives you — you’ll paste it into monday once, in a later step.

Step 2 — Install the monday app

    Click “Install on monday” below.

    Approve the requested permissions.

  3. 3

    The app appears under your monday Installed apps.

Step 3 — Finish setup in monday

Open monday → Installed apps → Gravity SMS → Settings tab, then complete the 3-step checklist:

① Authorize Gravity SMS

Click the Authorize button and approve the monday permissions. This grants the board access the SMS-received triggers need. Required — installing the app alone does not grant this.

② Connect your Gravity SMS account

Paste the API key you copied from the portal. One time, here in Settings — not per recipe.

③ Connect RingCentral

Click “Connect RingCentral extension”, sign in to RingCentral in the popup, and approve. The connected extension appears with status “active” and its phone number(s). Returning Gravity SMS customers: your existing RingCentral connection appears automatically — no reconnection needed.

Once all three are done you’re ready to build recipes. There are no per-recipe credentials — the connection lives in Settings.

Send SMS from a recipe

    Open any board in monday.

    Add a new recipe (Integrate → Add recipe).

  3. 3

    Find the Gravity SMS section in the recipe builder.

  4. 4

    Choose the “Send an SMS” action.

  5. 5

    Configure the sentence: to (E.164 format or mapped from a monday Phone column), from (a connected RingCentral number), body (your message), and itemId (optional — map from context to log the SMS on a specific item’s activity feed).

    Pick a trigger for the recipe (item changes, button clicks, scheduled, etc.).

  7. 7

    Save the recipe.

When the recipe fires, the SMS sends through RingCentral and (if itemId is mapped) appears as an update on that item’s activity feed.

Receive SMS into monday

    On any board, add a new recipe.

  2. 2

    Choose the “When an SMS is received” trigger.

  3. 3

    In the recipe sentence, set the phone number to listen on (this is the number SMS will be sent TO, usually one of your RingCentral extension’s numbers).

  4. 4

    Pick an action to run when an SMS arrives (create item, post update, send notification, etc.).

  5. 5

    Save the recipe.

Inbound SMS to the configured number fires the recipe, with the sender’s number, the message text, the receive timestamp, and a unique message ID available as trigger outputs.

Disconnect

Open the Settings tab and click “Disconnect all” to remove all connected RingCentral extensions from this monday account. Per-extension disconnect is in development; for now, disconnect-all is the only available option from the Settings tab.

When you uninstall the monday app entirely, your data is preserved — if you reinstall, your previously-connected extensions and registry data are restored automatically. To delete all data permanently, contact support.

Troubleshooting

SMS doesn’t send when the recipe fires

  • Confirm the from number belongs to a RingCentral extension that’s connected in your Settings tab.
  • The RingCentral gateway validates from-number ownership at send time and will fail messages with mismatched numbers.
  • Check the recipe runs at all — sometimes triggers don’t fire because the monday-side trigger condition isn’t met.

Inbound SMS doesn’t trigger a recipe

  • Confirm the “When an SMS is received” trigger has the correct phone number configured (the number you’re texting TO).
  • Confirm the RingCentral extension is connected and has status “active” in the Settings tab.
  • Confirm step ① Authorize is complete — the SMS-received triggers need that board access. If unsure, reopen Settings and check for the Authorize button.
  • If you’ve recently disconnected and reconnected, give it a minute for the webhook subscription to refresh.

Multiple connected extensions but the wrong one is being used

  • Each Send-SMS recipe ties to the specific from number you configured — that maps the recipe to the extension owning that number.
  • For Receive-SMS triggers, the phone number you listen on determines which extension’s inbound flow you receive.
